How to manage User Permissions

Written by Ashlee

Your Roles and Permissions settings allow you to control what level of access your users have to your site and your data. Both Staff and Client Contacts can be assigned Roles. For more information on Contacts, please see this article.

Your Roles and Permissions can be found in your Settings under the "Main Settings" section:

To manage Staff Contacts select the "Staff" tab. To manage Client Contacts select the "Clients" tab:

Roles

You can have as many different roles as you need. To add a new role, click the "+ Add" link at the bottom of the list:

To manage the Users that are assigned to a role, click in the Users column for that role, then select or deselect the users you wish to add or remove from that role:

Users with no role assigned to them will appear at the bottom of this section. To assign them the role, tick the box next to their name and select the role you wish to assign then click "Apply"

Alternatively, you can click in to the "Role" column next to the unassigned User you wish to assign, then select the Role you wish to assign to them and click "Save":

Permissions

Permissions are managed at a Role level. You manage a user's permissions by assigning them to the desired Role with the appropriate permissions.

For any Role you can change the permissions by selecting the Role and then checking the box next to the permissions you wish to enable, and unchecking the box next to the permissions you wish to disable. Once you have configured the permissions as you wish, click the "Save" button to save the updates to the permissions:

For most permission sets you can choose to grant any combination of View, Add, Edit, or Delete permissions. View allows a user to see the associated element; Add allows a user to add new instances of the associated element. Edit allows a user to edit existing instances of the associated element. Delete allows a user to delete existing instances of the associated element.

If you wish a role to have Admin level access and all permissions enabled, you can toggle the "Super User" switch on:

You can configure permissions for most elements of the site. If you are unsure what a particular permission set does, you can expand the Definitions menu on the right-hand side of your screen:
