If you've been using ProWorkflow for a long time, you may notice certain processes have started to slow down, for instance, project creation. Effectively, whenever a new project is created, we need to query all of the contacts stored in your system to present them as options to you, and because that list is so large, any areas where we need to do this are experiencing some relative lag.
β
Unfortunately, we do not have any capacity boosting options available, so our best option will be clearing out some of the contacts you haven't used in a while. Deleting a contact/company in ProWorkflow does not completely delete them from the entire system; any/all projects & tasks will still exist under the deleted client's name. You would also have the option to restore any given contact/company if they return at some point in the future. Deleting them really just means that they are removed as an active option when creating a new project etc, which is exactly where we need to clear them from.
We also have a system that makes clearing out old/unused contacts easy. If you go to your Settings and look right down the bottom of the list, you will see an option called 'Maintenance Tool'. This will allow you to clear old data from the system automatically. You would want to select Companies, and then choose an appropriate date range as below:
This program will sort the clients based on who has recently had work created against them. In your tool, it looks like we have contacts that have been untouched for over a decade, so these would be great candidates for removal. Note that you can Select All and then Delete with the two highlighted buttons.
You may also note the tool has a row limit of 500. This means that you can only clear out 500 companies at a time, so it may be that you need to run this tool multiple times until you're only seeing Companies that have had work done in the past 5 years or similar.
β
Again, I will stress that this will not remove any work you've done for these clients, and the profiles can be restored at any time should you need to use them again.
