Messages keep every conversation about a project in one place, next to the work. Your team and your clients see the same thread, and anyone who joins the project later can read the history.
There are two levels of messages:
Project messages: about the project as a whole. Open a project and click the Messages tab.
Item messages: about one task. Click an item to open it, then click its Messages tab. Item messages also appear in the project's Messages tab, so you can see every conversation on the project in one list.
Send a message
Open the project (or item) and go to Messages.
Click New Message.
Check the Subject. It starts as the project name; change it to something people will recognise in their inbox.
In To, choose who should receive it. Recipients are grouped into Project Contacts, Clients and Staff.
Write your message. Use the toolbar for headings, bold, italics, underline and links, or type / for more editor actions.
Add files with Add Attachments, or drag and drop them onto the message.
Click Send.
Turn on Private Message before sending if the message should stay between you and the people you send it to.
Reply to a message
Click a message in the list to open the thread. Type your reply in the box underneath and click Send. Use Add recipients to bring someone else into the conversation.
People can also reply straight from their email. Each thread has its own address ending in @notify.proworkflow.com, and replies sent to it are added to the thread. Your clients do not need to log in to take part.
Find a message
Use Search above the message list to find a message by its words.
Use the filters above the list to switch between All Messages, My Messages and Private messages.
Click the expand icon in the corner of the Messages panel to give it the full screen.
Good to know
An email that started outside ProWorkflow cannot be forwarded into a project. Start the conversation in ProWorkflow, and replies by email will then land in the thread.
What a person can see and do in Messages depends on their role. See How to Manage Roles and Permissions.
