How do I integrate with a file storage system? How can I add the File Integrations into an Existing Project?

File integrations are activated in two parts.

You'll first need to go to your Settings page and find the Integration Settings menu on the left-hand side. Several File Storage Partners are listed here, among them are Google Drive, Sharepoint and Dropbox. Click on your preferred partner and click 'Connect'. At this time, a new window will open in which you will be asked for your credentials to that system. If these are shared organisation credentials, try to use an admin profile. From here, you will be brought back to ProWorkflow and be asked to select a 'Base Folder'. This refers to the highest level of access that ProWorkflow would have to your file storage system. You can choose the account in general, but remember that this means members of your ProWorkflow account will have access to the entirety of these files. A popular option is to have a subfolder called 'ProWorkflow', in which all ProWorkflow content is placed.

At this stage, you have integrated a file storage system with your account. From here, you only need to assign certain folders to certain projects.

If you now go to any given project, your file storage system will be an optional module from the Layout menu. Engage this module and your Project Details page will now have a section available for Ondrive/Dropbox/etc. Interact with this section and you will be able to do two things:

  1. The first is to add an existing file from your file storage system into your ProWorkflow project. This means if you have a standard set of files you'd like access to for several projects, you can share them via this method.

  2. You can also create a new folder in your file storage system from ProWorkflow, titled after and linked to your present project. This means you can upload project-relevant files and those with access to your file storage system will also have access to them.
