Integrate ProWorkflow to Xero

Getting started with Xero is quick and easy.

Connecting ProWorkflow to Xero:

1) Access Integration Settings- Log into your ProWorkflow account with Administrator privileges.

2) Navigate to the Settings section from the main navigation.

3) Under the Integrations settings, select Xero Integration.

4) Click on the "Connect to Xero" button to begin the authorization process.

Please note that integration requires 2 Factor Authentication to be set up.

Authorize Xero integration:

1) You’ll be redirected to login to Xero via a pop-up- Log into your Xero account using your credentials.

2) Xero will prompt you to authorize ProWorkflow to access your account. Review the permissions and click "Allow access" to continue.

3) Once authorized, you’ll be redirected back to ProWorkflow, and the connection will be confirmed.

Configure Sync Settings:

After connecting, you can customize how the integration behaves:

Client Sync:

Choose whether to import existing client records from Xero into ProWorkflow via the Clietns tab on your ProWorkflow account. This keeps your client databases aligned and reduces manual entry.

Tax & Account Codes:

Import your Xero tax rates and accounting codes to use them when generating invoices in ProWorkflow. This ensures accurate financial reporting and compliance. You can also assign these against your tasks and materials rates.

Start Invoicing

1) Once your setup is complete, you’re ready to create and sync invoices- Create invoices in ProWorkflow based on projects, tracked time, or fixed dates.

2) Send invoices directly to Xero with a single click- This can be done when creating an invoice or after creation.

3) Sync invoice statuses in ProWorkflow as they update in Xero with the click of a button.

Security and Control

Your connection to Xero is secured through OAuth authentication, meaning your login credentials are never shared with ProWorkflow. You can revoke access at any time through Xero’s app management panel.

To disconnect or reauthorize the connection:

1) Go to Settings > Integration > Xero Integration in ProWorkflow.

2) Click "Disconnect"

3) To reconnect, follow the "Connecting ProWorkflow to Xero" step.

By connecting ProWorkflow to Xero, you eliminate double entry, improve financial accuracy, and save time across your project and accounting workflows. It’s the easiest way to bring your billing and project data together, keeping your team organized and your books up to date.
