Cost rates, profit and margin are some of the most sensitive numbers in your business. ProWorkflow lets you decide exactly who can see them, using two permissions on each staff role.
The two permissions
Permission | What it shows |
Sensitive Business Info | All financial ($) fields on projects and items, such as rates, estimates, spent, invoiced and work in progress. It also lets the user add, edit or delete Products + Services and Hourly Rates. |
Sensitive Business Cost Rates | Staff and internal cost rates, and the values worked out from them: cost totals, profit and margin. On its own it does not give broader financial access. |
Most teams use them in three combinations:
Who | Sensitive Business Info | Sensitive Business Cost Rates | What they see |
Owners, finance, directors | On | On | Everything, including cost rates, profit and margin |
Project managers, account managers | On | Off | Charge-out rates, estimates, spent and invoiced, but not what staff cost or the margin |
Team members | Off | Off | Their tasks and time, with no dollar values |
How to set it up
Go to Settings > Roles & Permissions and stay on the Staff tab.
Select the role you want to change, for example Project Manager or Team Member.
Under High Work Access, tick or untick Sensitive Business Info and Sensitive Business Cost Rates in the View column.
Click Save. The change applies to everyone with that role.
Open Definitions on the right of the Roles & Permissions screen to see what every permission does.
Good to know
Sensitive Business Cost Rates does not give broader financial access on its own. Pair it with Sensitive Business Info for anyone who should work with project financials and also see internal costs.
Hourly Rates and Products + Services can only be added, edited or deleted by users with Sensitive Business Info, so turning it off also stops people changing your rates.
Changes apply to every user with that role. To give one person different access, create a new role for them.
