User Permissions

The Users/Permissions section is used to edit permissions for internal staff, contractors and clients.
IMPORTANT: Only users who have login access are listed in the Users/Permissions section, you can add or remove login access from the Contacts Page.
To access the Users/Permissions section:
- Click 'ADMINISTRATION' on the left hand nav bar.
- Click 'Users/Permissions'.
Adding Users:
It is possible to add users by clicking 'Add New User', this opens a new pop-up window asking for more information. Refer to this article for further information on adding contacts.
Send Login Details:
To send an email to a user with their login details click 'Send Login'.
Removing Login Permission:
- Click the
icon for the relevant user. - Click 'Ok' on the confirmation prompt.
Viewing/Editing Users/Permissions:
To view the permissions for a user:
- Click their name.
- OR Click '+' for the relevant user.
To edit details/permissions:
- Edit details using the text boxes to change 'First Name', 'Last Name', 'Email' if required.
- Edit details using the text boxes to change 'Login Name' and 'Password' if required.
- To give an internal user 'Super User' permissions tick the first check box.
- For more granular control for internal users, use the check boxes to choose between 'Display, 'Add', 'Edit' and 'Delete' permissions for each item.
- The 'Tick All' and 'Untick All' links may be helpful for selecting or removing multiple permissions.
- For Contractors or Clients use the check boxes to select the relevant permissions.
- A list of all permissions is included below for reference.
- Use the drop-down box 'Send Login details now?' to choose whether to email login details to the user.
- Click 'FINISH'.
Available Permissions:
INTERNAL STAFF
- Super User - Allows all permissions below
General Items:
- Show Info Menu - Allows the user to use the 'SHOW INFO For User' function. Refer to this article for further information.
- Sensitive Business Info - Allows the user to see Sensitive Business Info such as quoting and invoicing information. Refer to this article for more details on what information is classified as Sensitive.
- Billing Alerts - If selected then the user will receive billing alerts from ProWorkflow when a monthly payment is due.
Application Pages:
For each of these items it is possible to set 'Display', 'Add', 'Edit' and 'Delete' permissions. Each item corresponds directly with the relevant section on the left nav bar.

- Timesheet Page This controls a users ability to track time
- Contacts Manager

Administration:
For each of these items it is possible to set 'Display', 'Add', 'Edit' and 'Delete' permissions. Each item corresponds directly with a section in the 'ADMINISTRATION' area of the left nav bar.

Plugins:
For each of these items it is possible to set 'Display', 'Add', 'Edit' and 'Delete' permissions. Each item corresponds directly with the relevant section on the left nav bar. These options will only take affect if the relevant plugins are enabled, they also affect the user's ability to see Invoices and Quotes throughout ProWorkflow.

CONTRACTORS
- View Timeline - Allows user to view Timeline.
- View Calendar Page - Allows user to view Calendar Page.
CLIENTS
- View ALL Company Projects (With 'Client View Selected') - Allows user to see all Projects for their company apart from those where 'Client View' is not selected.
- View ALL Project Tasks - Allows user to see all Project Tasks for their company.
- View Time Info - Allows user to see Time Allocated and Time Tracked Details.
- View Timeline - Allows user to view Timeline.
- View Projects in Archive - Allows user to see Archived Projects
- View Calendar Page - Allows user to view Calendar Page.
- View Quotes and Invoices - Allows user to view quotes and invoices if the relevant plugins are enabled.
