Add a New Project

To add a new project:
- Click 'PROJECT Manager' on the left nav bar.
- Click 'New Project' to open a new pop-up window.
- By default, when creating a new project ProWorkflow will present a basic view, select 'Show Advanced Info' at the top of the pop-up window to display more options. These extra options are marked as Advanced Info in the overview below.
- Fill in the details for the new project, further information is provided below.
- Click 'SAVE' to save changes made so far and to continue adding details.
- Click 'FINISH' to save changes made so far and continue to the next step.
- If 'Add Tasks' was selected then a pop-up window will display the tasks, refer to this article for further details on adding tasks.
- The new project will be shown in the original window.
Project Details
GENERAL INFORMATION
Status: (Advanced Info)
Use the drop-down box to select between:
- Active – Project is in progress.
- Complete – Project is finished.
Category:
Use the drop-down box to select which category the project is in.
Client:
Use the drop-down box to select which client the project is for. If the project is for a new client then click 'New Client' to open a new pop-up window allowing for the creation of a new Client.
Client View?: (Advanced Info)
- Yes - gives the client permission to view their project status, this also requires that they have a valid login name and password.
- No – hides the project from client viewing.
No.
Enter the project number here. Click on '<< Insert' to use the autonumber variable. See this article for more information on variables.
Title:
Enter the project title here.
Description:
A project description can be entered here.
Project Manager:
Use the drop-down box to select the project manager for the project.
Staff Assigned:
Select the staff users that will be working on this project from this list. To select multiple users, hold down the CTRL key on the keyboard, and click on the names of the required users from the list.
Contractors Assigned: (Advanced Info)
Select the contractor users that will be working on this project from this list. To select multiple users, hold down the CTRL key on the keyboard, and click on the names of the required users from the list.
Date Started:
Type the start date here or use the calendar to select the date.
Date Due:
Type the due date here or use the calendar to select the date.
Date Completed: (Advanced Info)
Type the completion date here or use the calendar to select the date.
PROJECT TASKS
Select the radio button for the relevant option and use the drop-down or text boxes as below.
- Add Tasks! – Choose the number of new tasks to add, when the ‘SAVE’ or ‘FINISH’ button is clicked, a new pop-up window will open asking for more information.
- Default Task – If this option is selected, a default task will be automatically added to the Project.
- Use Template – This will add a new task based on an existing task template.
- None – If this is selected no tasks will be added to the project.
SENSITIVE INFORMATION:
This information will only display if the permission 'show sensitive business info' option is enabled for the user. This setting can be changed using Users/Permissions in the ADMINISTRATION section. Refer to this article for further details.
Time Allocated:
Enter the total time allocated to the project here.
Quoted Price:
Enter the price quoted to the client.
Invoiced Price: (Advanced Info)
Enter the amount invoiced to the client.
Invoiced: (Advanced Info)
Use the drop-down box to select between:
- Yes – indicates the project has been invoiced.
- No – indicates the project has not been invoiced.
Paid: (Advanced Info)
Use the drop-down box to select between:
- Yes – indicates the invoice has been paid.
- No – indicates the invoice has not been paid.
Accounted for: (Advanced Info)
Use the drop-down box to select between:
- Yes – indicates the project has been accounted for.
- No – indicates the project has not been accounted for.

Project notes can be entered here.
EXTRA FUNCTIONS (Advanced Info)
Project Resources (Files)
Tick the check box to add the ability to upload multiple files to a Project which can then be downloaded by all allocated team members.
Shared Notes
Tick the check box to add the ability to add multiple notes to a project which are seen by all allocated team members.
Bookmarks
Tick the check box to add the ability to add web URLs (weblinks) which are seen by all allocated team members.
Messages
Tick the check box to add the ability to communicate with all other team members using the built-in ProWorkflow messaging tool.
Project Expenses
Tick the check box to add the ability to track expenses against the project.
