If you are unable to view the video please refer to the text guide below or contact our support team.The Contacts Page lists contacts stored in ProWorkflow, contacts are sorted alphabetically by surname and details listed include Company, Personal and Work Phone, Email Address and status (Staff, Client, Contractor or Other).
To access the Contacts Page:
- Click 'CONTACTS Manager' on the left nav bar.
- Click 'Contacts Page'.
Key:
Types of User:
- Client
- Contractor
- Internal Staff
- Other
Users who have submitted information using the 'Add Your Information Option' are shown with flashing icons. Refer to this article for more information on the 'Add Your Information Option'.
Assigned Projects/Tasks:
- This icon denotes that the user is assigned to a project
- This icon denotes that a user is assigned to a task
Hover the mouse over the icon to show how many items the contact is assigned to.
Display Options:
Several options are available to customise which contacts are shown.
Search:
To use the search function:
- Use the drop-down box next to 'Search in:' to select which field to search. Options are 'Person's Name', 'Company Name', 'Address' and 'Notes'.
- Enter the text to search for in the text field.
- Check the tick boxes to show each type of user – 'Client', 'Contractor', 'Internal Staff' and 'Other'.
- Click 'SEARCH'.
- Click 'Reset' to show all contacts.
View:
To change the number/type of contacts displayed:
- Click any of the values next to 'View' in the upper right.
- Click 'Deleted' next to 'Display' to show deleted contacts.
- Click 'Active' to show active contacts.
- Use the drop-down box next to 'Category' to choose the category to display or select 'All Contacts'.
The default number of contact records displayed on the page can be adjusted in 'My Personal Settings'. Refer to this article for more informational on Personal Settings.
To navigate between pages:
- Click 'Next Page' to show the next page of contacts.
- Click 'Prev Page' to show the previous page of contacts.
- Use the drop-down box next to 'View Result Page' to select the page of contacts to display.
Quick Email
To send an email to contacts using the quick email feature.
- Click the contact type bottom right beside 'Quick Email' or click 'All' for all contacts. A new pop-up window will open.
- Format - Use the radio buttons to select the format for the email.
- Subject - Enter a subject for the email.
- Message - Enter the message, there are 4 variables available that can be used, for more details on variables refer to this article.
- {firstname} – This variable will be replaced with the contact's first name
- {proworkflowurl} – This variable will be replaced with your account login URL
- {username} – This variable will be replaced with the contact's username if they have one
- {password} – This variable will be replaced with the contact's password if they have one
- Send Message To - Use the check boxes to select which contacts to send the email to. A test email address can also be entered.
- Click 'SEND'
Drink List
Click 'Drink List' to open a new window with details on drink preferences for all contacts.
- Click 'Person' or 'Company' to sort by either heading.
- Click 'Print it!' to print the page
